Frequently asked questions
Short answers to the questions that come up most often.
Is this a live NetSuite integration?
No. NetOrderFlow produces CSV files that you import into NetSuite. Nothing is written to NetSuite automatically, and NetSuite does not push data back. That is deliberate: no SuiteCloud licensing, no integration record to maintain, and nothing that can break during a NetSuite upgrade.
Do reps need NetSuite logins?
No. Reps work only in this app. Only whoever runs the import needs NetSuite access.
Does it work offline?
Order drafts are held locally in the browser as you work, so a brief connection drop will not lose what you have typed. Selecting customers, looking up items, and saving to the server all need a connection.
Why can I not export an order?
The order must be Committed, and preflight must pass: every customer and item needs a NetSuite Internal ID, required segments must resolve to a value, and there must be no manual lines. The export screen names the specific problem.
Why did my multi-line order become several Sales Orders?
The external_id column was missing from the template, or was not mapped to External ID in NetSuite. That column is what groups rows into one transaction.
Why are my dates a month off in NetSuite?
The date format on Settings → Defaults does not match Advanced Options on the NetSuite import. This fails silently, so fix both sides and re-import with Add or Update.
Can I re-import a file I already imported?
Yes, with Data Handling set to Add or Update. NetSuite matches on External ID and updates the existing transactions instead of duplicating them.
How do I fix an order that already exported?
If it has not been imported yet, an admin can reopen it to Saved, correct it, commit, and re-export. If it is already in NetSuite, make the change in NetSuite — that record is now the source of truth.
Can I edit a committed order?
Only an admin can, and the usual path is to reopen it to Saved first. Exported and canceled orders are locked.
Where do prices come from?
From the customer's price level, then any quantity tier that the line quantity qualifies for, and finally the item's base price if no price-level price exists. A rep with the price override permission can type something else.
Why does a rep see no customers?
Data restriction is probably on and the rep has no linked rep record, no territories, or the customers have no rep or territory assigned. Check all three.
Can I hide a customer or item without losing history?
Deactivate it. It leaves the pickers but stays attached to every order that already used it.
How do I get NetSuite Internal IDs in here?
Build a NetSuite saved search with Internal ID as a result column, export it, and import it at Settings → NetSuite sync → Import. Save the mapping as a profile so refreshes take seconds.
Will loading demo data touch my real records?
No. Demo records are tagged, and removing demo data deletes only tagged rows. Clean slate is the destructive one — it wipes the organization's operational data.
How are seats counted?
One per active user, whatever their role. Deactivating a user frees the seat immediately and keeps their data.
Can two people work on the same order?
Orders save to the server, so anyone with visibility and edit rights can open one. Avoid editing the same order simultaneously — the last save wins.
Does the app calculate tax?
No. It carries a taxable flag and tax codes through to the export, and NetSuite calculates the tax.
Are there keyboard shortcuts?
Not currently. Order entry is designed for touch first, so everything is reachable by tapping.
Can an AI assistant read my data?
Yes, through the MCP connection, read-only and scoped exactly to what your own account can see.
NetOrderFlow does this for you. Start a 14-day free trial.
